Responsibilities:
• Provide comprehensive administrative and operational support, using discretion to resolve first-line issues and escalating when necessary.
• Organize key team meetings, manage calendars, schedule appointments, and assist with travel arrangements including hotel, taxi, and train bookings.
• Maintain and improve office processes, systems, and inventories including newsroom assets, safety equipment, and supplies; liaise with service providers and building management.
• Prepare and archive documents, presentations, reports, editorial materials, and correspondence using standard software and clear briefs.
• Coordinate IT requests, systems access, and ensure staff are equipped appropriately during onboarding, transitions, or departures.
• Support HR-related tasks including leave tracking, freelancer agreements, and documentation for work and residency processes for expats.
• Assist with procurement processing, fleet management tracking, and small purchasing such as stationery and office supplies.
Qualifications:
• Fluent in both Arabic and English with excellent written and verbal communication skills
• Proven experience in an administrative or office support role within at least one organization.
• Strong organizational and multitasking abilities, with the ability to prioritize workload and meet tight deadlines.
• Effective communication skills and ability to work well with people at all levels; fluent in both Arabic and English.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and confident in document preparation and data analysis.
• Ability to use initiative with minimal supervision, demonstrating high attention to detail, discretion, and professionalism.
